Office Manager (one year maternity leave, full-time)

The Canadian Music Centre, Prairie Region is looking for a maternity leave cover for the position of Office Manager. The position will be full-time for 52 weeks beginning September 8, 2015, with part-time hours beginning in July, or sooner if the candidate is able.

Overall Purpose
The Office Manager plays an active role in the smooth operation of the region’s library and provides administrative support essential to the office’s day-to-day operations.

Reporting and Working Relationships
The Office Manager reports to the Regional Director (Prairie) and works closely with the CMC’s National office team.

Description of Role
The Office Manager’s primary responsibilities are:

1. Library:
- Oversees music library score collection, new acquisitions, loan circulation and maintenance of library
- Provides reference services & special requests
- Supervises/trains part-time staff and volunteers

2. Program Development:
- Assists with organization of events promoting the CMC and Canadian music
- Co-ordinates regional initiatives including the annual Emerging Composer Competition and the JUNO and WCMA classical music showcases
- Represents CMC at promotional events (concerts, festivals, conferences) and through making presentations to University classes and other visiting groups
- Assists with the bi-annual Associate Composer application process

3. Communications:
- Produces and edits bi-weekly e-newsletter
- Plans and manages production of all communications strategies including outreach, marketing and promotional materials.
- Manages social media accounts including CMC website, YouTube and Facebook.

4. Office:
- Acts as primary point of contact for visitors and associates coming to the CMC office, providing excellent customer service to our various stakeholders
- Coordinates fundraising activities including the annual campaign
- Assists in grant application material coordination
- Oversees customer service functions including photocopying and binding of scores, and retail sales
- Maintains day-to-day bookkeeping with the assistance of the National Controller. Duties include banking, bill payments, invoicing, coding and making entries with Sage Accounting and preparing reports for the Regional Director.
- Provides administrative support,
- Manages the CMC database of donors, composers and customers
- Organizes Regional Council and AGM meetings and acts as minute taker and secretary for these meetings
- Performs other duties as required

The ideal candidate will have:
- Post secondary education
- A minimum of three years experience with a non-profit organization
- Solid background in office and administrative work, including comprehensive knowledge of MS Word and Excel
- Knowledge of accounts payable/receivable and experience working with Simply Accounting
- Background in social media
- Exceptional oral and written communication skills
- Basic knowledge of library cataloguing systems and database management
- Demonstrated customer service skills
- Ability to work independently and with a team
- Excellent organizational and time management skills
- Ability to read music an asset
- Fluency in French an asset
- Knowledge of Canadian contemporary art music, performers and organizations an asset
